1. Information we collect
- Contact details such as name, email, phone number, and address.
- Reservation details, trailer selection, dates, notes, pickup and return information.
- Identity and eligibility information, including driver’s-licence information, age affirmation, proof of insurance, and tow-vehicle information.
- Payment, tax, discount, and transaction records. Card information is processed by Stripe and is not stored directly by Stone Ridge Equipment.
- Electronic agreement records, typed signatures, timestamps, IP address, verification hashes, and communications.
- Basic website and security data used to prevent fraud, abuse, and technical errors.
2. How we use information
We use information to provide quotes and customer support; create and administer reservations; verify identity, insurance, and towing eligibility; process payments, deposits, discounts, refunds, and taxes; coordinate pickup, delivery, and return; maintain signed agreements and safety records; prevent fraud; protect equipment and users; improve operations; and comply with legal, accounting, insurance, and enforcement obligations.
3. Rewards and customer-specific discounts
When a discount is restricted to an email address, we may create or associate a Stripe customer record with that email so Stripe can enforce the restriction. Participation is optional. Rewards information is used only to administer the discount programme unless you separately consent to another use.
4. Service providers and disclosures
We may share information only as reasonably necessary with service providers supporting the website and rental operation, including Stripe for payments, discounts, fraud prevention, and tax calculations; Microsoft 365 for email; website hosting and database providers; insurers, accountants, legal advisers, repair or recovery providers; and government or law-enforcement authorities when required or reasonably necessary to protect rights, safety, property, or legal interests. These providers may process information under their own terms and privacy notices.
5. Retention
We retain information for as long as reasonably necessary for the purposes described above, including reservation administration, signed contracts, tax and accounting records, insurance matters, dispute resolution, fraud prevention, and legal compliance. Retention periods vary by record type. Information no longer reasonably needed is deleted, anonymised, or securely archived where practical.
6. Security
We use reasonable administrative, technical, and organisational safeguards appropriate to a small rental business, including access controls, encrypted storage for selected sensitive fields, secure payment processing through Stripe, and authenticated administrative access. No internet or storage system can be guaranteed completely secure.
7. Your choices and requests
You may request access to, correction of, or deletion of personal information by emailing antonio@stoneridgeequipment.com. We may need to verify your identity and may retain information where required for contracts, security, taxes, insurance, claims, or other legal obligations. We do not sell personal data or process it for third-party targeted advertising. If Colorado privacy law applies to a future scale of our operations, we will honour applicable statutory rights and required opt-out mechanisms.
8. Cookies and third-party services
The site may use essential browser storage, cookies, or comparable technologies required for security, session management, checkout, and basic functionality. Stripe and other providers may use their own technologies when you interact with their services. We do not currently use personal data for behavioural advertising.
9. Children
Our services are intended for adults and renters must be at least 21. We do not knowingly collect personal information from children for rental purposes. Contact us if you believe a child submitted information improperly.
10. Changes and contact
We may update this Privacy Notice to reflect operational, legal, or technology changes. The effective date will be updated when material changes are posted. Privacy questions and requests may be sent to antonio@stoneridgeequipment.com.
